Tips
- Keep validity short (7 to 15 days) when your own costs change often, and say so in the terms.
- Send a proforma invoice when the customer must pay in advance or needs a document to arrange payment; issue the proper tax invoice when you supply.
- Number quotations in one series (QT-001, QT-002, …) and note each one in the Lead & Follow-up Tracker with a follow-up date two or three days later.
- Tax rules differ by country and product. Use the rates your accountant confirms; this tool only does the arithmetic.
Questions and answers
What is the difference between a quotation and a proforma invoice?
A quotation is an offer: the price at which you are willing to supply, valid for a period. A proforma invoice is sent after the customer agrees, showing what the final invoice will be, often so they can pay in advance. Neither is a tax invoice.
Which currencies can I use?
Rupee, US dollar, euro, pound, UAE dirham, Saudi riyal, Qatari riyal, Australian, Canadian, Singapore and New Zealand dollars, Nepalese, Pakistani and Sri Lankan rupees, taka, ringgit, peso, rand, naira, Kenyan shilling and yen. The amount in words uses that currency's name.
What does "Prices include tax" do?
It treats the rates you type as tax-inclusive and works backwards to show the value before tax and the tax amount, so the total stays equal to your prices.
Is my data saved or uploaded?
Nothing is uploaded. Your business details, settings and the current draft are kept only in this browser on this device; clearing site data removes them. Download or print each quotation to keep a copy.
