Price List with Dealer Prices (Excel)
Keep one master list of products with their cost and list price, and let the workbook work out the margin, the dealer and distributor prices from your discount rates, and the price including tax. A separate Price List sheet prints a clean, customer-facing list for the price level you choose, without showing your cost or margin, and leaves out discontinued products.

What's inside
- Setup sheet: company details, currency symbol, effective date, tax name (GST, VAT or sales tax), dealer and distributor discounts, price rounding and a low-margin warning level
- Products sheet for 400 products: code, name, category, unit, pack size, cost price, list price, tax rate, minimum order quantity, status and notes
- Calculated margin percent with a red warning below your minimum, dealer price, distributor price and list price including tax
- Price List sheet ready for A4 printing or PDF: pick List, Dealer or Distributor and it shows those prices with tax, for active products only, with your company header
How to use it
- On the Setup sheet type your company name, address, contact details, currency symbol, the tax name used in your country and the date the prices take effect.
- Type the dealer and distributor discounts off the list price (for example 15% and 25%) and how prices should be rounded (to 1, 5, 10 or 0 for no rounding).
- On the Products sheet replace the samples with your products: code, name, category, unit, pack size, cost price, list price and tax rate.
- Check the Margin column. Anything below your minimum margin turns red: raise the price or review the cost.
- Mark products you no longer sell as Discontinued. They stay on the Products sheet but disappear from the printed list.
- Open the Price List sheet, pick the price level in the yellow cell and print it or save it as PDF to send to customers.
Tips
- Margin here is profit as a percent of the selling price ((list price minus cost) divided by list price). Markup on cost is a different, larger number; do not mix the two.
- Send dealers the Dealer version and retail customers the List version from the same file, so the two lists can never disagree.
- Change the effective date every time you revise prices, and keep a PDF of each old list for reference.
- Tax rates differ by country and product. Check the correct rate for each product with your accountant and type it in the Tax % column.
Questions and answers
How are dealer and distributor prices worked out?
List price minus the discount percent on the Setup sheet, then rounded the way you chose. If one product needs a special dealer price, type over the formula in that row; it will stay as you typed it.
Does the printed list show my cost and margin?
No. The Price List sheet only shows code, product, category, unit, the chosen price, tax rate, price including tax and minimum order quantity.
Can I use it without tax?
Yes. Leave the Tax % column at 0. The price including tax then equals the price.
Can I show prices in two currencies?
Make a copy of the file for the second currency and change the currency symbol and prices there. Exchange rates move, so a separate dated list is clearer for customers.
