Sales & CRM Toolkit
Most small sales teams do not lose deals because the product is wrong. They lose them because a follow-up call slipped, a quotation went out late, or nobody noticed that a good customer had stopped ordering three months ago.
This toolkit is a simple CRM you already know how to use: Excel workbooks for leads, the pipeline, monthly targets, customers and prices, Word formats for field visit reports, and an online quotation and proforma invoice maker. Each workbook has a currency setting, so it works in rupees, dollars, dirhams or any other currency, and your data stays on your own computer.
Made for: Salespeople, sales managers, business owners who sell themselves, field sales and dealer networks, B2B suppliers, agencies and service businesses anywhere in the world.
What each one does
📇 Lead & Follow-up Tracker (Excel)
Every enquiry becomes one row: who it is, where it came from, what they want, roughly what it is worth, who owns it and when you will call next. The workbook flags follow-ups that are overdue, due today or due in the next few days, so nothing waits in someone's memory. A Summary sheet counts leads by stage, shows which sources actually turn into orders, and lists each salesperson's open, overdue and won leads.
- Leads sheet with 500 ready rows: date added, company, contact person, phone, email, city, source, product of interest, estimated value, owner, stage, last contact, next follow-up date and next action
- Follow-up status that fills itself: Overdue (red), Today (amber), Soon, Upcoming, No date set or Closed, plus the number of days to go or days late
- Lead age in days, so old enquiries that never moved are easy to spot
🔻 Sales Pipeline & Forecast (Excel)
A pipeline answers the question every owner asks on Monday morning: how much business is likely to close, and when? List your open deals with their value, stage and expected close date. Each stage carries a win probability, so a large deal at the first meeting counts for much less than a smaller one in final negotiation. The Forecast sheet adds it all up by stage, by month for the next six months and by salesperson, with two charts.
- Setup sheet: currency symbol, forecast start month, salespeople and a stage table with editable win probabilities (Prospecting 10%, Qualified 25%, Proposal sent 50%, Negotiation 75%, Commit 90%, Won 100%, Lost 0%)
- Deals sheet with 500 rows: deal, customer, owner, value, stage, created date, expected close date, next step and next step date; probability, weighted value and warnings fill themselves
- Warnings for open deals whose close date has passed and for deals with no next step date
🎯 Sales Target vs Achievement (Excel)
Set a target for every salesperson for each month of the year, record sales as they happen, and the scorecard shows who is ahead and who needs help: this month's target and sales, year-to-date target and sales, achievement percent, the gap still to cover and a rank. Choose any report month and the whole scorecard moves to that month.
- Setup sheet: company name, currency symbol, the first month of your sales year (April, January or any other) and the report month
- Targets sheet: 12 monthly targets for up to 30 salespeople, with region and yearly total
- Sales sheet with 2,000 rows: date, salesperson, customer, invoice or order number, product and amount
👥 Customer List with Last Purchase (Excel)
Your existing customers are the cheapest sales you will ever make, if you notice when they go quiet. Keep every customer's details on one sheet and record purchases on another; the list then shows when each customer first and last bought, how many orders they placed, their total and average order, and whether they are Active, At risk or Lapsed. A summary lists your top ten customers and sales by segment.
- Customers sheet for 300 customers: ID, name, contact person, phone, email, city or region, segment, account owner and notes
- Calculated columns: customer since, last purchase, days since last purchase, number of orders, total sales, average order value and status
- Purchases sheet with 2,000 rows: date, customer (drop-down), invoice or order number, product and amount
🏷️ Price List with Dealer Prices (Excel)
Keep one master list of products with their cost and list price, and let the workbook work out the margin, the dealer and distributor prices from your discount rates, and the price including tax. A separate Price List sheet prints a clean, customer-facing list for the price level you choose, without showing your cost or margin, and leaves out discontinued products.
- Setup sheet: company details, currency symbol, effective date, tax name (GST, VAT or sales tax), dealer and distributor discounts, price rounding and a low-margin warning level
- Products sheet for 400 products: code, name, category, unit, pack size, cost price, list price, tax rate, minimum order quantity, status and notes
- Calculated margin percent with a red warning below your minimum, dealer price, distributor price and list price including tax
🚗 Sales Visit Report & Meeting Notes (Word)
Two Word formats for salespeople who work in the field. The daily visit report tells the manager where you went, whom you met, what was ordered or collected, what competitors are doing and what you plan for tomorrow. The customer meeting notes record one important meeting in depth: the customer's need, budget, who decides, timeline, objections and the agreed next step, so the next call starts where this one ended.
- Daily visit report: salesperson, date, territory, start and end reading, visit table (time, customer, contact, purpose, outcome, order value, collection, next action), day totals, competitor and market notes, expenses and tomorrow's plan, with manager remarks
- Customer meeting notes: meeting details and attendees, current situation and need, budget, decision maker and process, timeline, competitors considered, products discussed, objections and answers, agreed next steps with owners and dates
- Light shading on the parts to fill, A4 layout, prints clearly in black and white
⚡ Online Quotation & Proforma Invoice Maker
A professional quotation or proforma invoice in a couple of minutes. Pick your currency, number style and date format once; add the customer and the items, choose whether tax is added, included or not charged, and set how many days the offer is valid. The tool works out line discounts, an overall discount, tax by rate, freight and the total in words, and shows the valid-until date and your terms. Print it, save it as PDF, or download it as Excel or Word. Your business details and settings stay on this device.
- Quotation, proforma invoice or estimate from the same form
- Any currency (rupee, dollar, euro, pound, dirham, riyal and more), number style (1,234.50, 1.234,50 or Indian 1,23,450) and date format
- Valid-until date from the number of days you choose, plus payment terms, delivery terms and other conditions
