Rent Receipt Book (Excel)
The paper rent receipt book, but every receipt is numbered, nothing is lost and the amount in words is never misspelt. Enter each rent payment as a line in the register; then pick a receipt number and print an A4 page with a tenant copy and a landlord copy. It writes the amount in words in Indian (lakh, crore) or international (million) style with your own currency name, shows the landlord PAN line for Indian HRA claims and reminds you when a revenue stamp is usually expected.

What's inside
- Settings: landlord name, address, phone, PAN or tax ID, currency symbol and name, words style (Indian or International) and country (India or other)
- Register sheet with 500 rows: receipt number, date, tenant, property address, rent period from and to, amount, payment mode and reference
- Receipt sheet: pick a receipt number and get a tenant copy and a landlord copy on one A4 page, with "Received with thanks" wording, amount in figures and words, period, mode and signature box
- India mode: landlord PAN line, a warning when yearly rent is above ₹1,00,000 and PAN is missing, and a revenue stamp box on cash receipts above ₹5,000
- Yearly total per tenant on the Register sheet, useful for HRA proof or a landlord's own income records
How to use it
- On the Settings sheet type the landlord's name, address and phone. In India add the landlord's PAN; elsewhere you may add a tax ID or leave it empty.
- Set the currency symbol and its name in words (for example ₹ and Rupees, $ and Dollars, £ and Pounds), the minor unit (Paise, Cents, Pence) and the words style.
- On the Register sheet add one row per receipt: number (R-001, R-002…), date, tenant, property address, the period the rent covers, amount, mode (cash, UPI, bank transfer, cheque) and reference.
- Go to the Receipt sheet and pick the receipt number from the list in the yellow cell. Both copies fill in.
- Print the page (File › Print, A4), cut along the dotted line, sign both copies and give the tenant copy to the tenant. Paste a revenue stamp first if the box asks for one.
- For the next receipt, add a line on the Register sheet and pick its number.
Tips
- Never reuse a receipt number. If a receipt is wrong, write "Cancelled" in its Notes column and issue a new number.
- Employers in India usually ask for the landlord's PAN when the rent paid in the year is more than ₹1,00,000; the Settings sheet warns you when the register shows that much rent without a PAN.
- Many employers ask for a ₹1 revenue stamp signed across on cash rent receipts above ₹5,000. Payments by bank or UPI already leave a record; mention the reference.
- One receipt can cover several months (for example April to June). Most employers accept monthly or quarterly receipts; ask yours.
- HRA exemption is available only under the old tax regime in India. Ask your employer or tax adviser what proof they need for your year.
Questions and answers
Who should make the rent receipt, tenant or landlord?
The landlord issues and signs it, because it confirms that the landlord received the money. In practice tenants often prepare the receipts and ask the landlord to sign; this workbook suits both.
Is a rent receipt enough to claim HRA?
Employers usually ask for rent receipts and, when the yearly rent is above ₹1,00,000, the landlord's PAN. Some also ask for the rent agreement or bank statements. The rules are set by the income tax law and your employer's process, so check with them.
Can I use it outside India?
Yes. Set the country to Other, your currency symbol and name, and the International words style. The PAN line and revenue stamp box then disappear.
Can I add my own logo or signature image?
Yes. Unprotect the Receipt sheet (Review › Unprotect Sheet), insert the picture in the header area and protect it again.
