GST Invoice Template (Excel)
A complete GST tax invoice in one Excel workbook. Enter your business details once, keep a list of customers and items, then build each invoice by picking from drop-down lists. The workbook decides between CGST + SGST (same state) and IGST (other state), totals everything, rounds off and writes the amount in words in Indian style (lakh, crore).

What's inside
- Invoice sheet laid out for A4 printing, with your business name, GSTIN, bank details and a signature box
- Customers sheet: name, GSTIN, address, state, phone and email for each customer
- Items sheet: item name, HSN/SAC code, unit, rate and GST rate for each product or service
- Automatic place-of-supply check: intra-state invoices split tax into CGST and SGST, inter-state invoices charge IGST
- Up to 10 item lines with quantity, discount and taxable value; round-off and grand total
- Amount in words, for example "Rupees One Lakh Twenty Thousand Five Hundred Only"
How to use it
- Open the Business sheet and type your business name, address, GSTIN, state, phone and bank details. Do this once.
- Open the Customers sheet and replace the three sample customers with your own. Pick each customer's state from the list, because the state decides CGST/SGST or IGST.
- Open the Items sheet and enter your products or services with HSN/SAC code, unit, rate and GST rate.
- Go to the Invoice sheet. Type the invoice number and date, then pick the customer from the drop-down list.
- In each line pick an item, type the quantity and, if any, the discount percent. HSN, rate, taxable value and GST fill in by themselves.
- Check the totals and the amount in words, then use File › Print (or Save as PDF) to send it.
- For the next invoice, save a copy of the file (File › Save As) with the invoice number in the name, or change the number and lines and print again.
Tips
- Yellow cells are for typing; white and grey cells calculate themselves and are protected so a formula is not deleted by mistake (Review › Unprotect Sheet if you really need to change one).
- Keep a separate copy of each invoice as PDF: it is the easiest way to keep a register and to email it.
- Use the GST Monthly Summary workbook in this toolkit to total the month's invoices by tax rate.
- GST rates change from time to time; check the rate for each item against the current GST notifications and edit it on the Items sheet.
Questions and answers
Does this invoice format follow GST rules?
It contains the details Rule 46 of the CGST Rules asks for on a tax invoice: supplier name, address and GSTIN, a serial number, date, customer name and address, customer GSTIN if registered, HSN/SAC, description, quantity, unit, value, taxable value, tax rate and amount for each tax, place of supply and a signature. You are still responsible for the correctness of what you enter.
How does it decide between CGST + SGST and IGST?
It compares the state on your Business sheet with the customer's state. If they match, the GST is split equally into CGST and SGST; if they differ, the whole amount is shown as IGST.
Can I add more than 10 items?
The printed layout holds 10 lines so it fits one A4 page. For longer invoices, use two invoices or ask for a longer version through the contact page.
Does it work in Google Sheets or LibreOffice?
Yes, the formulas use only common functions (INDEX, MATCH, ROUND, IF). Drop-down lists and the amount in words also work in Google Sheets and LibreOffice Calc.
