Client Dues & Ageing (Excel)

Every unpaid bill gets older every day. This workbook lists your bills with their credit period and the money received, works out how many days each one is overdue, and builds an ageing report per client in the usual buckets. A reminder message for each client is ready to copy into WhatsApp or email.

Free · no sign-up · opens in Microsoft Excel, Google Sheets, LibreOffice and WPS Office. Files contain no macros.

What's inside

How to use it

  1. On the Clients sheet type your clients' names and phone numbers (replace the samples).
  2. On the Bills sheet enter each bill: pick the client, type the bill number, date, credit days (for example 30) and amount.
  3. When money comes in, type it in the Received column of that bill. Part payments are fine: add them up in the same cell, for example =20000+15000.
  4. Open the Ageing sheet. Each client's outstanding amount appears in the right age bucket. The "As on" date is today unless you type another date.
  5. Copy a client's reminder text and paste it into WhatsApp or an email.

Tips

Questions and answers

What is an ageing report?

It groups money owed to you by how long it has been due. Old dues are harder to recover, so they need attention first.

Days overdue are counted from which date?

From the due date, which is the bill date plus the credit days. A bill that is not yet due shows in the "Not due" column.

Can I use it for my suppliers too?

Yes. Make a copy, rename the Clients sheet to Suppliers and list the bills you have to pay.
