Gift & Shagun Register (Excel)
At the end of a wedding or big function, someone sits with a pile of envelopes and gifts and a notebook. This register makes that list once and keeps it useful for years: who gave what at which function, how much cash came in, which gifts need a thank-you message, and, when the giver's own family function comes, what they gave you so you can return the gesture.

What's inside
- Settings: event name, function names, currency, number and date style
- Register sheet with 800 rows: date, function, guest name, side, relation, city, phone, gift type (cash or shagun envelope, bank or UPI transfer, gold or jewellery, gift item, gift card, other), description, cash amount, estimated value of gifts, thank-you sent
- Summary: cash and gift value by function, by side and by gift type, number of entries, thank-yous pending
- Look-up sheet: type a name and see everything that family gave across all your events
How to use it
- On the Settings sheet type the event name and the function names, and pick your currency and styles.
- Open the envelopes and gifts with two people: one reads, one types. Add one row per envelope or gift.
- Type the cash amount for envelopes and transfers, or an estimated value for gifts if you want a total.
- Mark Thank-you sent = Yes once you have thanked the guest.
- Use the Summary sheet for totals, and the Look-up sheet years later when that family has a function.
Tips
- Write the name exactly as written on the envelope or card, and add the relation ("Sharma ji, father's colleague") so you remember who it was.
- Keep one file for all the family's events: the Look-up sheet then shows everything a family has given over the years.
- Count cash with two people and deposit it quickly; note the bank deposit as a Note on the last row of the day.
Questions and answers
What is a shagun register?
In many Indian families a record is kept of the cash (shagun, nek or vyavhar) and gifts each guest gives, so the family can give a fitting amount when the guest's own function comes. This template is that register in Excel.
Can I use it for a birthday, baby shower or office farewell?
Yes. Type those function names on the Settings sheet; the side column can be left empty.
Is gift value counted with cash?
The Summary shows cash and estimated gift value separately and as a combined total, so you can use whichever you need.
