Event Vendor & Payment Tracker (Excel)

Every caterer, decorator, photographer, DJ and transport company has its own quote, advance, payment dates and cancellation terms. List them once with the agreed amount; record each payment as you make it; the tracker shows what is paid, what is left, which payment is due next and which is late. A contacts view gives you every vendor's phone number on the day.

Free · no sign-up · opens in Microsoft Excel, Google Sheets, LibreOffice and WPS Office. Files contain no macros.

What's inside

How to use it

  1. On the Settings sheet pick the currency, number style and date style, and type the event date.
  2. On the Vendors sheet add each vendor: the service they provide, contact details and the final contract amount.
  3. Mark Contract signed = Yes when you have a signed agreement or written confirmation, with its date and the cancellation terms.
  4. Type the date and amount of the next payment due for each vendor (from the contract schedule).
  5. Every time you pay, add a row on the Payments sheet: date, vendor, amount, mode and receipt number. Paid and balance update by themselves.
  6. Check the Status column every week; print the Contacts sheet for the person in charge on the day.

Tips

Questions and answers

What does "Due in 7 days" mean?

The next due date you typed is within the next seven days and the vendor still has a balance. After that date passes it shows Overdue.

How do I record a refund from a vendor?

Add a row on the Payments sheet with a negative amount, for example -5000, and a note "refund".

Is this a contract?

No. It is a record of what you agreed and paid. Always get a written agreement or confirmation from each vendor; check terms with a professional if the amount is large.
