Family Documents & Policies Index (Excel)
When a passport is about to expire, a claim must be filed or someone in the family falls ill, the question is always the same: where is the paper? This workbook is a map of the family's important documents and insurance policies. For each one it records who it belongs to, where the original is kept, where the scanned copy is, the nominee and the renewal date, and it warns you before anything expires. It deliberately has no place for passwords or PINs.

How to use it
- On the Settings sheet set how many days before expiry you want a warning (60 to start with) and type your currency symbol.
- List the family on the Members sheet.
- Go through your files and add one row per document on the Documents sheet: whose it is, what it is, where the original is kept (for example "Steel almirah, top shelf, blue folder" or "Bank locker 214") and where the scanned copy is saved.
- Add every insurance policy on the Policies sheet with its renewal date and premium.
- Fill in the Contacts sheet with the numbers your family would need in a hurry.
- Look at the Summary sheet once a month and renew anything marked Renew soon or Expired. Tell at least one other family member where this file is.
Tips
- Never type passwords, PINs, CVV numbers, OTPs or full account and card numbers in this file. The last 4 digits are enough to recognise a document.
- If you store the file in the cloud, protect the account with two-step verification. You can also add a password to the file itself in Excel (File › Info › Protect Workbook › Encrypt with Password); keep that password somewhere safe outside the file.
- Print the Contacts sheet and keep it with the originals so the family can use it even without a computer.
- Review nominees whenever there is a marriage, birth or death in the family.
Questions and answers
Why does it only ask for the last 4 digits of numbers?
The file is meant to help you find documents, not to replace them. Keeping full identity, account or card numbers in a spreadsheet makes it valuable to anyone who gets hold of it.
Can I add more document types?
Yes. The types are in a list on the hidden Lists sheet (right-click any sheet tab › Unhide › Lists). Add yours at the end of the list and they appear in the drop-down.
How is the yearly premium calculated?
Premium × payments per year: 1 for yearly, 2 for half-yearly, 4 for quarterly and 12 for monthly. Single-premium policies count as 0 per year.
Is this a legal record?
No. It is an index that tells you where the real documents are. The original documents and the insurer's records are what count.
