Daily Cash Book (Excel)
Write every cash receipt and payment as it happens and always know how much cash should be in the drawer. The cash book keeps a running balance, gives a day-by-day summary for the month, and totals your money by head so you can see what you spent on rent, salaries or purchases.

What's inside
- Entries sheet: date, particulars, head, receipt and payment with a running balance
- Heads list you can edit (Sales, Purchase, Rent, Salary, Electricity, Owner drawings and more)
- Day-wise sheet: opening, receipts, payments and closing balance for every day of the month
- Totals by head for the month
How to use it
- On the Settings sheet type the month (first day, for example 01-04-2026) and the opening cash balance.
- Each time cash comes in or goes out, add a row on the Entries sheet: date, what it was for, the head and the amount in Receipt or Payment.
- The Balance column shows the cash that should be in hand after each entry. Count the drawer at day end and compare.
- Open the Day-wise sheet for the daily totals and the Heads sheet for the monthly totals by head.
- Start a new copy each month with the closing balance as the new opening balance.
Tips
- Never leave both Receipt and Payment empty; if a row is a mistake, delete the whole row.
- Edit the head names on the Settings sheet to match your business.
- If the drawer and the balance differ, write an entry "Cash short" or "Cash excess" so the book matches reality.
Questions and answers
Is this a double-entry cash book?
It is a single-column cash book (receipts and payments), which is what most shops keep day to day. Your accountant can post the totals into the main books.
Can I record UPI and card payments?
Keep this book for cash only. For UPI and card money, use a separate copy named "Bank book", so the cash balance stays true.
What if I enter entries out of date order?
The running balance follows row order. Sort the Entries sheet by date (Data › Sort) and it recalculates.
