Stock Register (Excel)

A simple stock register that works like the paper one: write what came in and what went out. The workbook keeps the closing stock of every item, its value at purchase price, and marks items that have fallen to the reorder level so you know what to buy.

Free · no sign-up · opens in Microsoft Excel, Google Sheets, LibreOffice and WPS Office. Files contain no macros.

What's inside

How to use it

  1. On the Items sheet, replace the sample items with your own and type the opening stock (what you have today).
  2. Set a reorder level for each item: the stock at which you should order again.
  3. Every time goods come in or go out, add a row on the Movements sheet: date, item, quantity in or out.
  4. Open the Stock sheet to see closing stock and value. Items at or below the reorder level turn red.
  5. At the month end, print the Stock sheet or save it as PDF for your records.

Tips

Questions and answers

How is stock value calculated?

Closing stock multiplied by the purchase rate on the Items sheet. A second column shows value at the sale rate.

Can I track stock for two shops?

Keep one file per shop, or add the shop name in the Note column and filter by it.

What happens if closing stock goes below zero?

It shows the negative number in red: it means more was entered as sold than was in stock, so check the entries.
